AI agent, AI employee, chatbot, virtual assistant: what the words actually mean

The vocabulary in this market is a mess, and the mess is not accidental. Here is a plain guide to which word means which thing.

You will see the same product described four ways depending on who is selling it. Some of that is fashion. Some of it is a cheaper thing borrowing the name of a more expensive one. Either way it makes comparison hard, so here is the plain version.

Chatbot

What it is. Something that answers questions, usually on your website, usually about you. Modern ones are genuinely good at this and a long way from the decision-tree things of a few years ago.

What it does not do. Work. A chatbot answers; it does not go away and come back with the invoice chased, the rota built or the report written. The conversation is the product.

When it is the right answer. You want to deflect repetitive questions from customers. That is a real job and a chatbot does it well and cheaply. We have written the longer comparison if you want it.

Virtual assistant

What it is. Two different things sharing a name, which is most of the confusion.

A human virtual assistant is a real person working remotely, usually part-time, often through an agency. They have judgement, they can be told something once, and they can ring somebody.

A software virtual assistant is a voice or chat interface — the thing on your phone. It sets reminders and answers questions.

When it is the right answer. A human VA is genuinely good where the work needs judgement, phone calls or a face. They are not cheap and they are not available at three in the morning, but for some jobs they are simply the correct tool, and we say so in the comparison.

AI agent, or AI employee

What it is. Software that is given a job rather than a question. It has access to your systems, a standing brief, and the ability to act: to check something on a schedule, notice what is missing, draft the chaser, build the report, flag the thing that looks wrong.

The two terms mean the same thing. "AI employee" is the phrase the market has settled on because it describes the shape of the arrangement — you are hiring capacity, not buying a tool. We call ours agents because they are not employees and we would rather not pretend otherwise.

What it does not do. Judgement calls that carry real consequence, anything requiring a person to be accountable, and anything nobody has explained to it. An agent is only as good as the brief and the access.

The test that actually separates them

Ask: if nobody talks to it today, does anything happen?

A chatbot waits. A software assistant waits. An agent has a job and gets on with it — the invoice chasing runs on Tuesday whether or not anyone logged in. That is the whole distinction, and it is the one that decides which of these is worth what you would pay for it.

Which to choose

If you want fewer questions reaching your inbox, a chatbot is cheaper and better at it.

If the work needs a human — phone calls, negotiation, anything with a face on it — hire a human, whether that is a VA or an employee.
